Position Summary

 
Under the direction of the Manager of Transit Administration, the Payroll Clerk II is responsible for the timely and accurate processing of computerized payroll and attendance records for Transit Operations. This role ensures compliance with City of Regina policies, collective agreements, and relevant legislation, while providing administrative and clerical support to the Transit Department.

 

Key Responsibilities

 

  • Process biweekly payroll for all Transit Operations employees, including verifying electronic data and preparing payroll documents.
  • Review payroll transactions before and after transfer to ensure accuracy and completeness.
  • Calculate Operators Guarantee pay requirements and process daily time transactions.
  • Maintain payroll and attendance files, ensuring accurate transfer of vacation, sick time, and time-in-lieu data.
  • Process accounting transactions such as Billing Authorizations and Journal Vouchers.
  • Liaise with other departments to maintain payroll and accounting practices.
  • Perform general administrative duties including scheduling meetings, responding to inquiries, and supporting special projects.
  • Manage mail distribution, file archiving, and maintain complex filing systems for Transit and Paratransit documents.
  • Maintain and update Paratransit database; process applications, prepare invoices, and provide accurate information to customers.
  • Order general stationery and supplies and manage uniform inventory.

 

Key Qualifications

 

  • Demonstrated knowledge of computerized payroll systems, timekeeping, and applicable legislation.
  • Strong attention to detail with accuracy in figures and calculations.
  • Effective communication skills with the ability to work tactfully and diplomatically across all levels.
  • Excellent organizational and time management skills to prioritize tasks and meet strict deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with payroll/accounting systems (Infor preferred).
  • Ability to multitask in a busy office environment and identify process improvements.
  • Completion of Grade 12 with courses in word processing, spreadsheets, and office practices; minimum typing speed of 50 wpm.


Additional Requirements

 

  • Candidates will be required to attend in-person orientation.
  • Remote and in-person testing will be done to evaluate knowledge, skills and abilities.
  • This role offers typically 23 or more hours per week, depending on operational needs.
  • Employee must be available full-time if additional coverage as needed.
  • Weekend availability (flexible hours) is required, and weekday work will be during regular business hours, with occasional early or late shifts as needed.
  • Additional assessments may be conducted to evaluate competencies, skills, and knowledge.
  • Successful candidates may be required to provide a satisfactory criminal record check per the City of Regina's Criminal Record Check Policy.
  • Proof of education is required.
