Position Summary
The Indigenous Relations Administrative Coordinator provides administrative, coordination, and logistical support to the Indigenous Relations leadership team and ensures efficient administrative processes within the work unit. The role also supports Indigenous engagement efforts, cultural events, and community partnerships. The incumbent assists in the preparation of reports, Indigenous-led initiatives, policy tracking, and ensures culturally appropriate practices are integrated in daily operations. This position contributes an Indigenous lens to City-wide work and supports the delivery of kâ-nâsihtikawin Treaty Principles.
Key Duties & Responsibilities
- Provide administrative services, including research, documentation, calendar coordination, report writing, and file management.
- Assist with providing advice and guidance to Administration with respect to kâ-nâsihcikêwin Treaty Principles and City of Regina Commitments.
- Assist with drafting, editing, and reviewing Council reports related to kâ-nâsihcikêwin.
- Maintains and manages a tracking system for work unit service levels, deliverables, and activities.
- Liaises with Director for information transfer, delegation, and to coordinate deliverables on behalf of the Indigenous Relations team.
- Coordinates the flow of information/materials for meetings.
- Coordinates calendar appointments, events, and meetings.
- Triages incoming messages and requests (in-person, telephone, email) for response and action.
- Develops, analyzes, implements, and reviews administrative policies, procedures, and systems.
- Provides administrative, logistical and cultural support regarding ceremonies, meetings, and events (e.g., honoraria, tobacco protocol).
- Assist with sharing information and encouraging and supporting City of Regina employees to participate in Indigenous events and important dates.
- Assist the Director with coordination and planning for Indigenous Advisory Committee meetings.
Key Qualifications
- Completion of secondary school or equivalency plus completion of recognized job-related certification in office or business administration.
- Minimum of three years of previous and on-the-job progressive administrative and/or clerical experience.
- Minimum one year experience related to Indigenous-based community services, youth services, Indigenous social work, or Indigenous cultural services.
- Registered First Nations University of Canada student is preferred.
- Previous Mitacs Indigenous Pathways experience is an asset.
- Experience as an Elder’s Helper is an asset.
- Knowledge, experience, and participation of and in First Nations, Métis, and Inuit culture, ceremony, protocols, governments, community organizations, municipal government planning and program processes, and urban Indigenous needs and issues.
- Understands and implements appropriate cultural protocols when addressing First Nations, Métis, and Inuit leaders, Old Ones, Elders, Knowledge Keepers.
- Strong interpersonal and relationship-building skills.
- Skill in gaining cooperation among diverse individuals and groups including the ability to negotiate mutually beneficial agreements and to manage change through decision-making, problem-solving, and consensus-building.
- Ability to express ideas effectively orally, in writing, and through presentations.
- Analytical skills to identify trends and challenges.
- Detail-oriented with excellent organization, multitasking, and time management skills.
- Ability to work with employees at all levels of the organization and elected officials.
Working/Other Conditions
- Must have the means to travel in and around Regina and work flexible hours, including evenings and weekends.
- Primarily works in indoor office environment.
- Occasionally works in the outdoor environment.
